3. Why and how do we collect data in the file? 

The basis for processing the data collected in the file is supporting projects seeking and receiving financing, disseminating information that supports the well-being of children, young people, and families, and communicating other coordination activities.

Coordinating the participation and inclusion of children, young people and families organizes webinars, training, and other events. We collect personal data based on the consent given by the data subject, for example, in connection with registration and subscribing to our newsletter.   

Personal data are needed to enable coordination and to manage the data subject’s registrations and subscriptions to the newsletter. The data processed in the file can also be used for project reporting and the allocation of communications and marketing related to the coordination project’s events and training.   

4. Who do we collect data from?  

The data file is compiled from the data provided by the participant or newsletter subscriber. We collect data with our registration forms and the newsletter subscription form. The data collected on the forms may vary on a case-by-case basis.  

Personal data is collected from, e.g., the following persons in the following manner:  

  • Participants of webinars, training, or events   
  • Name, job title, organisation, email address     
  • Newsletter subscribers 
  • Name, email address, organisation

We also collect various public contact details in the data file so that we can communicate the project as broadly as possible.   

5. Who has access to personal data and to whom will the data be disclosed?

The data on file is available to the personnel of the main organiser of the project, SOS Children’s Villages, and of Nuorten Akatemia and the Finnish National Agency for Education. The data will not be disclosed to any third parties. Exceptions include collaborative partners complying with data protection legislation, with whom we organise projects. Where necessary, data may be disclosed to such partners if it is necessary for the implementation of a joint project, event, training or other free service. 

Ownership of the data will not be transferred from the controller to a third party, and the third party will not be entitled to use the data for purposes other than their commission. Data may also be disclosed to third parties if the controller’s statutory obligations so require.  

6. Will data be disclosed outside the EU and EEA? 

As a rule, data are not disclosed to parties operating outside the territory of the Member States of the European Union or the European Economic Area. If the transfer of personal data outside the EU or EEA is necessary for the use of IT services, the grounds for the transfer of personal data and the safeguards laid down by the EU Commission shall be complied with. 7. How long do we store personal data? 

Coordination is part of the Innovation and Skills in Finland 2021–2027 programme under the EU cohesion policy. The data will be deleted after the end of the coordination project.  Section 3 of the privacy statement defines the purpose of the processing of personal data.   

8. Do you no longer want to receive email from us?  

Newsletter subscribers can unsubscribe at any time by using the Unsubscribe feature. You can find it in each message.   

If you no longer wish to receive emails from the coordination project, send your request to kati.honkanen@sos-lapsikyla.fi.  

9. You have the right to access your own data and to request that they be rectified or erased

All data subjects have the right to request their own data for review, to request the rectification of incorrect personal data or to request that the data be erased from the data file.

The data subject has the right to lodge a complaint with the supervisory authority if the data subject considers that their personal data are not processed in accordance with data protection legislation. 10. Updating the privacy statement

The project may update this privacy statement in the future. The privacy statement was last updated 12 September 2023. 

11. Automated decision-making and profiling

Data subjects’ data will not be used for automated decision-making.   

Data subjects’ data may be used for profiling. The data used for profiling include the data subject’s job title and organisation. Based on the job title and the organisation, Coordinating the participation and inclusion of children, young people and families may, for example, send the data subjects tailored email messages. As a result of profiling, the data subject may receive information transmitted and tailored by the coordination project.   

Website privacy policy and cookies

Our website will not collect or store your email address or any other personal or identifiable data without your consent. The website uses only cookies necessary for the functionality of the website.

Statistics

The website uses statistics. Statistics do not use cookies, and data are not transmitted to a third party; individual visitors cannot be identified because all IP address data have been anonymised. Website statistics collect general statistics about the use of the website and are necessary for the development of the site.

Accessibility statement 

This accessibility statement applies to the service osallisuudenkoordinaatio.fi, and it was drawn up 1 September 2023. We have assessed the accessibility of the service ourselves. 

Accessibility status of the digital service

Meets the critical accessibility requirements. According to our assessment, the website meets the critical accessibility requirements laid down in the Digital Services Act, i.e., the WCAG 2.1 level A and AA criteria.

Not covered by legislation: 

  • office program files (e.g., doc, pdf, odt) published before 23 September 2018 
  • video or audio recordings published before 23 September 2020. 

Our website does not meet WCAG 2.1 level AAA criteria. These include sign language interpretation and extended audio description. Additionally, recordings on our website and YouTube videos published before the Digital Services Act entered into force are not subtitled. There is no legal requirement to subtitle videos retrospectively. We will subtitle all video and audio recordings that are published after the Digital Services Act entered into force.
